HostBaby Webmail Frequently Asked Questions
Why do some mails have images that say "This image has been removed for security reasons"?
My webmail is TOO SLOW
- There are several things that can slow down your webmail, we've dedicated a separate page for this: Webmail slowness.
I find the webmail too limiting and/or annoying, what can I do?
- You can use a full-featured email program on your computer. In fact, if you spend a lot of time with email and/or you have a lot of mail to contend with, we recommend you use an email program instead of the webmail. As long as you use "Account Type: IMAP" in your program, you'll be able to access all your same email & folders in either the program OR in the webmail at any time.
- There are many different email programs available. All modern computers come with one pre-installed, normally just called "Mail" (formerly Outlook Express on Windows). All of us here use a 3rd-party program called Thuderbird.
- For instructions on setting up your account, check out Email Programs page.
- (Remember: if you still want to be able to access all your past mails in the webmail, use IMAP instead of POP3)
How do I make and send to Groups using the address book?
- There is no real "group" functionality in the webmail.. if you have a mailing list you want to send to, you should really consider using Listbaby instead (that's really what Listbaby was made for, you can access it from your main /hostbaby admin page, and you can copy your webmail address book into it by going to Listbaby -> INFO & HELP -> click "Copy your webmail address book into your list").
- But, Listbaby aside, we've "hacked" in a little support for group sending, and it works like this:
- When you add an address to your address book, there is an field called "Additional Info". This is where you want to put your "group name". It just needs to be something unique (something that doesn't occur in the firstname or lastname fields).
- You would use your "group" like this:
- Compose a new message
- Click the Addresses button (not the link at the top, the button between Signature and Send)
- In the Search text box put your group's name (the unique string) and hit enter and you'll get a list of your "group"
- If you want to BCC this list, click the link that says "All" above "BCC" and it'll check everyone in that column
- Click Use Addresses button at the bottom of the page
- Write the rest of your mail and send it!
How do I change my password/forward my mail/set up a vacation message
- Your email account settings are currently managed in the Email Settings/email admin area, found by going back to your /hostbaby Admin page and click Settings -> Email Settings (for Wizard users) or just email admin (for non-Wizard).
- Some customers can access their user settings quickly by going into the webmail Options and click the Email Account Settings button at the top. This should be available for all customers soon.
- Once you're in, changing the settings is fairly simple. Of course if you have any trouble, just shoot us an email and let us know what you're trying to do
- To forward your mail, select the Enable Forward option, then put your "external" email address in the Forward Email To box If you would like to forward your mail but still keep a copy of the mails on our server (for backup or later checking), select the Enable Save Copy and Forward option too.
- To make an auto-reply or vacation messages, select the Enable Vacation option then type in your message's preferred subject and body
- Remember to click the Submit/Modify User button at the bottom to save any changes you make (they will go into effect immediately).
Can you import my address book for me?
- Sure can, just send whatever you have to hostbaby@hostbaby.com (a TEXT or CSV export would work best).
How do I make my emails "From" my Full Name instead of just my email address?
- Go to Options -> Personal Information -> Set "Full Name" and click Submit
I want to send mail "From" a different address.
- Go to Options -> Personal Information -> "Edit Advanced Identities"
- In here you can add as many different "identities" (or "From" addresses) as you'd like, then when you're composing an email, you will have a drop-down list of all of the addresses
The time is wrong on the left frame (under "Folders"), how do I fix it?
- Go to Options -> Personal Information -> Pick "Your current timezone" and click Submit
Can I set up filters for my email? For example, can I filter certain messages to a different folder?
- Yes you can, go to Options -> Message Filters.
- By the way, to create new folders, click the Folders link at the very top.
I have a lot of messages and I hate having to click "Next Page" all the time. How do I show more messages on my message list?
- Go to Options -> Display Preferences -> Set "Number of Messages to Index" to however many messages you want to show per page and click Submit
- To show all your messages on *one page*, click the "Show All" link towards the top of the page
When reading mail, I often use the links for "Delete & Prev" and "Delete & Next" to delete the mail and automatically show the previous or next mail, but can I move those links to the top of the page?
- Yep, Go to Options -> Display Preferences -> scroll down to the line that says "Delete/Move/Next Buttons." If you want the links to be on the top, check the option for "Display at Top." Select "with move option" if you want the "Move To" option as well (to move messages to a different folder). Click Submit when you're done.
Can I have my "Folders" list automatically refresh by itself more often?
- Yes, Go to Options -> Folder Preferences -> Set "Auto Refresh Folder List" to how often you would like it to refresh and click Submit.
My messages are sorted in the wrong order (by sender or subject), I need them sorted by date. What happened?
- There are two possibilities:
- a) Look at the top of the columns on your mailbox and you should see "From", "Date" and "Subject" with little icons to the right of each name. If one of those icons is an arrow, click it until it becomes a gray box. Once all three are gray boxes, your sorting will be reset back to the default (by date, with newest at the top)
- Or
- b) you clicked the "Thread View" link on your mailbox, and your messages are now "threaded" (sorted by date, *grouped by* subject). You can click "Unthread View" to put it back like it was.
How come the INBOX shows the number of *unread* messages but other folders don't? Can I set those folders to show it too?
- Yes, Go to Options -> Folder Preferences -> Set "Enable Unread Message Notification" to "All Folders" and click Submit.
All my folders disappeared! I only see "INBOX", where are the others?
- Your folders were most likely just collapsed into the folder "tree."
- Is there a "+" (plus sign) to the immediate left of "INBOX"? If so, click it and the tree should all "expand" and the folders will come back.
Can the webmail notify me when I have new mail?
- Go to Options -> New Mail Notification Options
- There are also many applications you can install on your computer to do this, download.com's Email Utilities section is a good place to start.
How do I show the Message Size on my message list? Can I put the "Subject" before "From" in the message list?
- Go to Options -> Index Order. Here you can add/remove the columns you want to show on your message list, as well as sort them however you want.
How do I change the way the webmail looks?
- Go to Options -> Display Preferences -> "General Display Options"
- There are many different "Themes" you can choose from. Each Theme comes with it's own unique color scheme (some of them even change your colors every time you load the webmail). Also, if you don't like the font, "Custom Stylesheet" allows you to set your font. The default is "sans-10" which means a "sans-serif" font at size 10 point. We've also added "geo-10" which is the Georgia font, a font common among many Hostbaby and CDBaby web pages.
Did you create this entire webmail? Where did it come from?
- Nope, we're using an open source package called SquirrelMail with some custom modifications to make things a little easier for HostBaby customers (some of our modifications have even been incorporated into the main SquirrelMail distribution)
- Check our http://hostbabyfaq.com for help, we're constantly adding & updating information here.
